Comparison

Why agencies choose Meridian

Ontario's ~400 developmental services agencies face the same challenge: demonstrating QAM compliance across 855 indicators with limited time and staff. Most rely on tools that were never built for this job.

How Meridian compares

An honest look at what each option does well, and where the gaps are. We built Meridian to fill a specific need, not to replace every tool your agency uses.

The landscape

Good tools, different jobs

ShareVision

A strong case management platform built for the DS sector, with editable smart forms and Ontario-specific workflows. Many agencies use it daily for client records and service tracking.

The gap: Smart forms still require manual data entry and review. There is no automated scanning engine that checks your compliance posture across all 855 QAM indicators at once.

Penelope (Bonterra)

A mature case management system with 130+ built-in reports, widely used across human services in North America. Solid data collection and outcomes tracking.

The gap: Multi-sector by design, not built specifically around Ontario QAM requirements. Reports are powerful but require manual interpretation for compliance mapping. US-headquartered, which raises data residency questions under PHIPA.

GoldCare

An established Canadian health informatics platform focused on hospitals, long-term care, and home care. Strong clinical workflow support and Canadian data hosting.

The gap: Designed for clinical healthcare environments, not the developmental services sector. QAM indicators and Regulation 299/10 requirements are not part of the core product.

Manual spreadsheets

The default for most agencies. Excel files, shared drives, and institutional knowledge passed between compliance leads. Familiar and free (in theory).

The gap: Entirely dependent on the person who built the spreadsheet. No version control, no automated checks, no real-time visibility. When your compliance lead is on leave, the spreadsheet does not explain itself.

The spreadsheet problem

Still using spreadsheets for QAM compliance?

Most agencies start here. A quality assurance lead builds a tracker in Excel, maps indicators to tabs, and reviews everything manually before each audit cycle.

It works until it doesn't. Staff turnover means knowledge walks out the door. Flat budgets mean the compliance lead is also doing three other jobs. And when the auditors arrive, the scramble to pull everything together takes weeks.

This is not a criticism of the people doing the work. It is a recognition that the tools have not kept up with the requirements.

No single source of truth

Multiple copies, conflicting versions, no audit trail for changes.

Knowledge concentration risk

When your compliance lead leaves, the spreadsheet becomes a mystery.

Weeks of audit prep

Pulling documents, cross-referencing indicators, formatting evidence binders.

Blind spots between audits

Compliance is only checked when someone remembers to check it.
